ADMINISTRATIVE ASSISTANT

Summary: Provides general office support with a variety of clerical activities and related tasks. Is responsible for welcoming visitors, answering incoming calls, directing calls to appropriate individuals, mail distribution, flow of correspondence, requisition of supplies, as well as additional clerical duties. Up to 20 hours per week. Position based in Fairmont, MN. 

Essential Duties and Responsibilities:

  • Welcomes visitors in a friendly, professional and courteous manner to the facility and notifies company personnel of their appointment. 

  • Answers phone calls in a friendly, professional and courteous manner and gives information to callers, takes messages, or transfers calls to appropriate individuals.

  • Opens the switchboard promptly at 8:00 a.m. and efficiently operates it throughout the day until 5:00 p.m.

  • Tracks and coordinates the maintenance on the fleet vehicles.

  • Assists with the Aging Report and contacts late payers.

  • Manages the fleet of vehicles for staff availability.

  • Manages the on-call calendar and early on-call calendar for software and technical support areas in the service department.

  • Notifies answering service of changes to phone list and on-call schedule.

  • Requisitions and distributes clerical supplies to company personnel.

  • Sorts and distributes incoming mail, and collects, seals, and stamps outgoing mail.

  • Accurately takes messages and delivers oral or written messages to company personnel timely.

  • Accurately files correspondence, accounts receivable and accounts payable and other records.

  • Makes copies and binds printed materials.

  • Assists various departments with special projects.

  • Assists Accountant with many varied duties and paperwork.

Education/Experience: One year certificate from college or technical school; or three to six months related experience and/or training; or equivalent combination of education and experience.

Computer Skills: To perform this job successfully, an individual should have knowledge of Microsoft Word word processing software; Microsoft Excel spreadsheet software and ERP accounting software (will train).
